Check in Visitor

Guests can be manually checked in as individuals or groups on Guest Dashboard. Also, it is possible to verify at which time a Visitor checked in.

To check-in a visitor, click  Check-in on Visitor Detail or Expected Visitors.

A confirmation dialog will appear. If the Visitor you are trying to check in is part of a group, you may choose between checking in only this Visitor (Individual) or the entire Group.

In the event that the Visitor(s) has not signed a mandatory NDA, the user will be notified of this prior to allowing the check in. (System Setting > back_office_enforce_nda is enabled)

After check in, the Host and Cc/Alternative Host (if included), dependent on system configurations, may receive a notification to inform that the Visitor has arrived. The visitor will be moved to Live Visitor Log with the Checked-In Status and Check-out button becomes available.

There is a configuration that can be enabled (System settings > visitor_waiting_host_delay) which will not allow the visitor to collect their badge without the host. After they check-in, they will have to wait for their host to arrive and they will print their badge for them.  This is enabled when the visitor_waiting_host_delay setting is not 0. If it is set to 1, the system will wait 1 minute (setting it to 2 will wait 2 minutes and so on) before changing the status of the user to 'Waiting' in the Live Visitor Log.

We can also send a notification to the host to inform them that their visitor is waiting, This can be found under Systems Settings > send_visitor_waiting_notification. If this setting is enabled, the additional System Setting > visitor_waiting_host_delay_limit will indicate the number of notifications to be sent. If this setting is set to zero, reminders will be sent indefinitely, until the visitor has been collected or the visit cancelled.

There is also an 'Arrived' action which will mark the visitor as on-site but not yet checked in.
