Ensure the kiosk workflow is correct. Each visitor type can have a customized workflow.

Edit Kiosk workflow

Each visitor type can be customized. In total there are 7 steps in the kiosk workflow.  The user can choose alternatively how many steps is necessary  in each visitor type work flow. Above displays 4 steps allocated the visitor type - Visitor kiosk workflow.

Click save button to confirm changes.

Click on the save button to confirm  to the amount of steps in the kiosk workflow.

Visitor Types - Add new visitor Type

To add a new visitor type workflow click on New button.

Enter mandatory fields

Ensure all the mandatory fields are populated with valid data.

Visitor Types - Edit Name

The edit icon allows the user to change the name of the selected visitor type name. once complete click save button to confirm.

Visitor Types - Set Locations

To change the workflow locations click on Locations button.

Add using the locations available (left column):

  1. Locations can be added by cluster and;
  2. Location and;
  3. Building and;
  4. Collection Point.

Remove locations using the right column.

Once complete click Save button to confirm.

Visitor Types - Delete the selected workflow

A pop-up with a confirmation message will be displayed.

The default workflow cannot be deleted.

Visitor Types - Visit Reason

To add the workflow to a certain visit reason click on Visit Reason button.

Add using the visit reasons available on the left column (step 1) and once added the visit reason will be shown on the right column (step 2). To remove just use the remove button available on the right column (step 2).

Once complete click on the Save button to confirm.

Important: If there is no visit reason configured to a certain workflow all the reasons available will be shown. Reasons available can be seen on 'Setting > Reference Data portlet > Visit Reason'.

Visitor Types - Move Up / Down

There is a 'Move up' and 'Move Down' button that allows you to move the order in which the Visitor Types are displayed in the kiosk. The position of the visitor type is also shown in the workflow settings under 'workflow_order'.

Workflow Settings - View / edit settings

Ensure the current workflow setting are functioning as it should.

Enter a valid label code

The list of valid label codes can be seen in the Label Layout portlet and this will assign the type of label that is given to visitors after check-in.

Important: Click on the save button to confirm changes.

Enable the setting "Print on checkin"

The print_on_checkin configures if a visitor's badge should be printed once the visitor checks in on the kiosk. The options available are 'Yes' - The badge will be printed; 'No' - The badge will not be printed and 'Based on Working hours' - It will depend on the time the visitor is checking-in, if within working hours the badge will be printed otherwise the badge will not be printed. The based on working hours activation, start and end time can be seen on 'Admin > Collection Point portlet > Edit Collection Point'.

Important: Click on save button to confirm changes.

Enable the setting "email_checkin_prompt"

The email_checking_prompt setting determines whether the host is notified via an automated email when their visitor checks in.

Important: Click on save button to confirm changes.

Enable the setting "host_scan_checkout_prompt"

The host_scan_checkout_prompt configures if the host shall be prompted to scan his/her badge once the visitor attempts to check out on the kiosk.

Enable the settingĀ "video_reference"

The video_reference configures the URL of the video that will be displayed to the visitor when she/he checks in.

Important: Click on save button to confirm changes.

Enable the settingĀ "enable_default_host"

The enable_default_host configures if there is a default host to be used during the check-in workflow. The default host can be seen on 'Admin > Collection Point portlet > Edit Collection Point'.

Enable the setting "host_health_survey"

The host_health_survey configures the workflow that will be used during when clicking on the Host Health Survey button in the Kiosk Application.

Important: Click on save button to confirm changes.

Important 2: Only one Kiosk Workflow can be enabled as host_heal_survey. 

Enable the setting "unnamed visitors"

The unnamed_visitors is a configurable feature that allows a visitor to check-in with unnamed visitors.

Important: Click on save button to confirm changes.

Enter a valid unnamed visitor label code

The list of valid label codes can be seen in the Label Layout portlet and this will assign the type of label that is given to visitors after check-in.

Enable the setting "enable_checkin_email"

The enable_checkin_visitor is a configurable feature that sends an e-mail to the visitor upon check-in. The default message sent can be configured in the Message Templates portlet. (See the 'Web App > Visitor Check In' Article for more)

Important: Click on the save button to confirm changes.

Click on save button to apply the changes.

Click Yes to confirm the changes or No to go back to editing.

After clicking Yes a confirmation dialog will be displayed.
