Reference Data - Collection Point Type
The Reference Data Portlet opens with no selection in the grid (by default) and depending on the user's choice, it displays the necessary information. The Collection Point Type is one of the options and it is responsible for giving an overview of the Tablet options available in the system. This article explains the settings applied for each one of them.
1. Collection Point (CP) Types
These are the fields available:
- "L" - Android Tablet
- "T" - iOS Tablet
- "K" - Kiosk
- "E" - Guest Event Tablet

2. Overview
The codes ("L", "E", "T", "K") will be used to identify the Collection Point when the user creates the location. After being created, the user can go to the Monitor Kiosk Portlet then Edit Kiosk Local Settings to enter the collection point of the tablet that needs to be set up. Every tablet has a unique code and this CP number will already have been configured in the back office application.
The settings for Kiosk, Android Tablet and iOS Tablet Local are basically the same and they are divided into sections called: Home Screen, Host Swipe Options, General, Printing, Arrival Flow, No Badge Options, Collect Flow, Timers, Printing Actions.
The Guest Event Tablet has a different layout and different fields.
Note: Each type of CP brings different settings to the location and it will be configurable in the Monitor Kiosk Portlet - Edit Kiosk Local Settings.
3. Specific Settings
3.1. "K" - Kiosk / "L" - Android Tablet / "T" - iOS Tablet:
- Home Screen section:
This identifies information about what is being displayed to the user on the very first page.
- Terminal Code*: This is the code related to each Collection Point. It is unique for each one.
- Hide Pickup Button: When enabled, this will remove Pickup Button from front screen.
- Hide Checkout Button: This will remove Checkout Button from front screen.
- Hide QR Scan Button <Kiosk Setting Only>: If using a Kiosk where the QR code is separate to the tablet camera this will display directions on the screen for the visitor advising them to scan their QR Code.
- Disguise Settings Button: This will disguise the Settings Button from front screen.
- Hide Maintenance Banner: This will hide the Maintenance Banner from front screen.
- Show Flags: When this is enabled, it will populate the language selection with the associated flag to that language better enabling them to select the language that they require, better enabling them to select the language that they require.
- Show Clock: When enabled it will show the time on the front screen in the top corner.
- Manual PIN: This will enable the Manual Pin on the home screen allowing the host to sign in to retrieve a temporary badge or collect a guest.
- Manual PIN Delay (sec): This is how many seconds the Manual Pin will be delayed, because the corresponding image could take longer to load.
- Language*: This will set the default language for this collection point to the selected language. Once the default language is selected, the Kiosk/Tablet UI will reset to the default language every time the kiosk goes to home page. The user can still change the language to a different one and when they are finished it will reset to the default one upon returning to the homepage. English is pre-selected as the default language.
- Screen to show for holding panel: This allows the user to decide which screen to use for the holding panel. This is the screen that is displayed when the kiosk/tablet is not currently in use and there are multiple holding panel pages available that can be designed and modified.
- Start check in and check out with Facial Recognition: This will start the check in and check out process with Facial Recognition. Facial recognition must be configured within the back office application in order for the functionality to activate at the collection point.
- Using Hold Panel: This allows the visitor tablet/Kiosk to have a welcome image screen displayed when not in use. Once the visitor arrives and interacts with the screen it will allow them to check-in. It can be:

Additionally, the check-in popup buttons define the order in which settings appear from top to bottom on the main screen.
When the user changes the theme it activates the popups.
2. Host Swipe Options section:
This setting is used to allow the user to collect people at the Kiosk and the prerequisite to this function is to have the badge scanner connected to the kiosk.
- Access to Collect Screen From Host Swipe: This permits access to the collect screen using the host badge.
- Access to Checkout Screen From Host Swipe: This permits access to the check-out screen using the host badge.
- Access to Pickup From Badge Screen From Host Swipe: This permits picking up the visitor from the badge screen using the host badge.
- Access to Host Health Survey: This permits access to the survey using the host badge.
This section does not have mandatory fields and all the settings are just options to the user to customize the Collection Point.
3. General section:
This brings information about the layout of the screen and permits the user to customize what will be displayed for the guest, such as date format, images and sounds.
- Working Hours: Enabled, this requires the host to validate the visitor's ID at the nearby reception before printing their badge. If turned off, the host will be required to confirm the visitor ID themselves.
- Poll Peripherals: This is for old Linux kiosks with JSON cards - you can turn off the communication to the badge reader and the printer. It is available to continually asks a peripheral device (like Kiosk/Tablets) to see if it has data to transfer.
- Play a sound when the screen is tapped: This will enable a sound to play when the screen is tapped.
- Show Guest Names on Dialog: This will show the Guest Name on Photo and Checkout page.
- Show Feedback Images: This will show Feedback Images on the screen when the visitor is checking out. This information can then be viewed via the reports in the back office.
- Short Date Format*: This will display the Date as a short Date Format on the screen.
- Short Time Format*: This will display the Time as a short Time Format on the screen.
- Show Full Building Name on Home Screen: This will display the full building name on the screen which is visible to the visitor.
- Use Second Line of Address Only: This will only use the second line of the collection point address on the screen.
4. Printing section:
This part of the settings is mainly used when the visitors need to print a badge to get access to the site.
- Visitor Label Code*: The user can set different types of labels for the visitor that are configurable at the Label Layout Portlet. Each label has a different code. This code determines what visitor label will be printed for walk in visitors. Label layouts are designed in the back office and each has a unique code. It can be overridden by label code in the kiosk Workflow portlet.
- Pre-Booked Label Code: This code determines what visitor label will be printed for pre-booked visitors. Label layouts are designed in the back office and each has a unique code. The following Printer Settings will depend on the type of device (Kiosk/Tablet), Printer, Printing method Bluetooth, USB, WiFi or Webprint. On deployment it will be agreed which printing options will be required and in which location.
- Enable Remote Printing: Selecting this enables the reception portal to print the visitors badge remotely from the back
- office application.
- Print using PDF: Selecting this enables print using PDF format.
- Printing using Chrome browser: Selecting this enables print using Chrome browser.
- Print using Bluetooth: Selecting this enables print via Bluetooth.
- Printing using App: This enables printing via the app that is available to be downloaded by the visitor.
- Printing to Star WebPrint Enabled Printer: This enables printing via Star WebPRNT Printer.
- Star WebPRINT IP Address*: Includes the IP address of the Star WebPRNT Printer.
- Print tries after failed WebPRINT response*: If the printer fails, the user can set several times that the visitor can try to print the label again.
- Low paper warning threshold*: When the printer is running out of paper, the Kiosk will alert the user. This field is to set how many times it will be done.
5. Arrival Flow section:
This part determines how the procedures will be with the visitors when they arrive on site. It is highly customisable and the user can choose different settings:
- Pre-booked Only: This enables the check-in only for visitors who registered in advance.
- Show Visitor Detail Screen: This enables the Visitor Detail screen to be shown. On this screen additional information can be requested on check-in e.g. Company etc. This is configured in the QR settings in the back office.
- Take Photo: This enables the Arrival Flow to Take Photos of the Visitor. It has to be set up in the back office kiosk Workflow portlet as well.
- Camera Alignment: A version of kiosk has a camera on the side and sometimes it needs to be adjusted, so the photo of the person standing in front of the touchscreen is properly aligned, without the need for the person to move.
- Photo Re-take Attempts: The select number of photo retake attempts allowed.
- Use Photo Countdown: When selected this provides a countdown timer on the camera.
- Show NDA: This enables the Arrival Flow to show the NDA to Visitors on arrival.
- NDA Scroll Speed*: the NDA is not static and can scroll automatically. The user can choose the speed: fast, medium, slow.
- Seconds before NDA auto-scroll*: it can set how long the NDA will be displayed on the screen before it automatically scrolls to ask the signature of the visitor at the bottom of the page.
- Show Host Department: This enables for the hosts department to be visible to a guest when searching for a host on the check in form.
- Show Host Email: This enables the host email be visible to a guest when searching for a host on the check-in form.
- Search tries before help message*: The select number of searches for the host tries before a help message is presented.
- Host Search Type: The host can search the visitor by type.
- Show Host Images: This enables the Arrival Flow to show the host image on arrival.
- Show Arrival Video: This enables the Arrival Flow to show a video on arrival.
- Allow Skipping Of Arrival Video: This enables whether the Visitor can manually skip arrival video within workflow.
- Auto Play Arrival Video: This enables whether the arrival video will auto play for the visitor.
- Id for Arrival Video: This ID is the YouTube URL that links to your selected arrival video.
- Show Id Scanner: This enables whether the ID scan will be presented. Government ID scanning must be configured by TDS in order for this setting to be active.
- Id Scan Match Last Name Only: This enables scan ID be matched with the visitor's name and allow entry.
- Use Back Camera For Qr-Code Scan: This enables the use of the back camera for QR code scan. This is a useful setting where a host or reception team might want to support the visitor with check-in using a tablet device in their hand.
- Send Invite to Walk-in: This enables the invitation to walk-in visitors.
6. No Badge Options section:
The kiosk is prepared to read the badge of the user and according to the configuration, they have access to the building.
However, even if they don’t have the badge for any reason, the Collection Point still has an opportunity to grant access. It will be done using the features from this section.
- Manual Pin Sign In: The employees/contractors can have a manual code pre-set in the system. This enables sign-in via manual pin.
- Ldap Sign In: it stands for Lightweight Directory Access Protocol and it is one of the core authentication protocols that was developed for directory services. This allows employees to sign into their profile on the Kiosk to print badges or request temporary badge. LDAP must be configured by TDS in order to use this setting.
- ssoAuth: it stands for Single sign-on and it is also an authentication method that enables users to securely authenticate with the system by using just one set of credentials.
- Access To Collect Screen: This enables whether there is available access to the collect screen.
- Access To Checkout Screen: This allows the host to check out their guests on their behalf.
- Temporary Badge: This enables whether temporary badges are available to be printed.
- Rfid Temporary Badge: This enables whether Rfid temporary badges are available to be used.
- Choose Expiry Date For Temp Badge: This enables whether an expiration date is required for Temp Badges.
- Max Days For Temp Badge: The select number of days allowed for temporary badges.
- Label Code For Temp Badge: The code which identifies the temporary label printed on devices for temporary employee badges.
- Take Photo For Badge: This enables whether a photo is required for the temporary printed badge.
- Discrete No Badge Button: This will hide the employee button on the front screen. Hosts will still be able to access the employee portal by pressing where the button with the badge icon in the top right corner.
- Send Temp Badge Emails: This enables whether emails are distributed for Temp Badges.
This section does not have mandatory fields and all the settings are just options to the user to customize the Collection Point.
7. Collect Flow section:
This part permits the user to customize the process to collect the visitor. It does not change the workflow from the visit, however, the user can decide if the Kiosk will display information about the guests, collection, cchost, non-checked in visitors, print badge options.
- Hide "all Guests" Tab: This enables the Other Guests Tab to be hidden so that hosts will only be able to collect guests assigned to them. When this setting is off Hosts can collect guests on behalf of their colleagues.
- Hide Meal Tab: This enables the Hide Meal Tab to be hidden. If the meal tab is being used to take note of visitors using the cafes then on collection the host will be able to select that the visitor is being brought to the cafe.
- Auto Select Visits When Collecting: This enables checked in visits to be auto selected during collection.
- Show Cchost Visits in Myguest:
- Show Non Checked In Visitors: This enables the collection flow to show non checked in visitors.
- Print Badge On Check-in: This enables the Visitor badge to be printed on check-in, and has to be set up on the Kiosk Workflow portlet as well.
- Visitor Rfid Badges*: Some flows permit the guest to enter the building using Rfid badges. The Rfid badges can be set to be on/off depending on each client. If enabled, the Self Assignment of Rfid badges drop-down is visible. Has options Off, Quick, Extended. The quick option means that on the collect page a text input box appears for each visitor, so the RFID badge can be assigned. The extended option is adding several pages with NDA(which is not signed), information on how to assign, and wear the badge - it is integrated with oauth servlet - custom API for Google.
- Hours before Purging Arrivals*: Purge is a term used in Computer Science to describe the process of deleting information from a computer. So, in this case, the user can set the hours before the system doesn’t show the arrivals anymore. E.g. When it is set to 1 hour and the visitor is late for the meeting by more than 1 hour, it won’t be possible to do the check-in on the kiosk.
- Hours ahead to show arrivals*: The system also can set the hours ahead to show the arrivals for the user. E. g. If the setting is set to 1 hour and the visitor arrives more than 1 hour early, they wouldn’t be able to check in until the specified time.
- Visitor Decay after collection (min)*: The select number of minutes for visitors to decay after collection. If the check-in flow is finished and the visitor label printed, there is still an option to reprint the visitor label for a few minutes if there was a malfunction of the printer.
- Use Check-in For Decay: The visitor decay after check-in.
- Use Print For Decay: The visitor decay after print.
- Use Pick-up for Decay: The visitor decay after pick-up.
- Show Visitor Images: This enables the collection flow to show visitor images.
The other options related to using check-in/print/pickup for decay can be ticked on and if it is yes, then there is a relationship between them, which means there are common fields that will share the same settings.
8. Timers section:
This section permits the user to customize the interval for some actions in the Kiosk.
- Global inactivity timeout (seconds)*: The selected number of seconds before Global inactivity timeout. The kiosk will be reset to the home page. Default time - 60 (seconds).
- Collect Screen inactivity (seconds)*: The select number of seconds before the collect screen becomes inactive. The kiosk will be reset to the home page. Default time - 25 (seconds).
- After Checked Out delay time (seconds)*: The selected number of seconds of delay time after check out. Default time - 10 (seconds).
- After Checked In delay time (seconds)*: The selected number of seconds of delay time after check in. Default time - 6 (seconds).
- Hide Gif Graphic Displays (seconds): The selected number of seconds before GIF graphic displays are hidden.
- Revert To Holding Panel Timeout (sec): The select number of seconds before reverting to the Holding Panel.
- Remote print job poll interval (seconds)*: The selected number of seconds is the interval between remote print job polls. Default time - 15 (seconds).
- Heartbeat interval (minutes)*: The select number of seconds the devices sends device status information to the back office. This allows your application to monitor all devices' health.Default time - 5 (seconds).
- Visitor Self Assign Timeout (seconds): The select number of seconds before Visitor Self Assign timeout.
9. Printing Actions section:
This section allows the user to choose which way the visitor will gain access to the building. The options are:
- Print Badge: there is a printer near the Kiosk and the badge is given physically to the visitor.
- Virtual Badge: the badge can be stored in the visitor’s cellphone and the Kiosk needs needs a QR Code reader.
- Pick-up Guest: the host is responsible for the visitor and no credential is given for the guest.
This section does not have mandatory fields and all the settings are just options to the user to customize the Collection Point.
Save/Apply - Once all the above section has been configured to your liking click save and the Kiosk/Tablet will boot up.

Also, these same features that are visible in the Monitor Kiosk Portlet are also displayed on the Kiosk.

3.2. "E" - Guest Event Tablet
The settings for this type are not divided into as many sections like the others, but it brings fields to set the main information about an event.
This Collection Point type was created to check-in the guests in a faster way to permit that a large number of people come at the same time for an event and it is simpler than the others types.

This settings also has mandatory fields:
a. Check-in Type divided in: This enables to choose what type of check-in will be used. Check-in w/NDA (visitor facing) / Quick Check-in (receptionist only).
b. Language: This will set the default language for this collection point to the selected language. English is pre selected.
c. Camera Facing: This enables to choose if the camera will be used in the flow to proceed with the visitor check-in.
d. Current URL: This permits to include the event link.
e. Active Session Interval (ms): This sets how long the session will be open to check-in the guests.
f. Monitoring Interval (ms): This permits the system poll the information about the event in this period.
