Register a visit

The fields presented on this form and whether they are mandatory or not will depend on the Collection Point selected (see QR Settings section). However, some fields will always be needed in order to perform a registration, explained as follows.

  • Host (1): defaults to the current user logged in the application;
  • Collection Point (2): tdsvisitor kiosk (or tablet) where Visitor shall meet the Host;
  • Visit Date (3): defaults to current day/time. The Timezone will be the same as the selected Collection Point;
  • Visit Reason (4): different Visit Reasons can be configured via Admin > Reference Data portlet (see Section - make reference to Reference Data here);
  • First and Last Name of Visitor (5 & 6).

When a mandatory field is not fulfilled correctly a hint message is displayed and the field border becomes red as shown below.

Optionally, you can add:

  • CC (7): person to be copied in all notification emails about this visit registration;
  • Comments (8): anything you include here will be showed on Reception and View > Registered portlets. This may be used to communicate that this is a VIP Visitor, for example;
  • Visitor's email (9): email address to which the check-in details - containing Visit Reference, QR Code and Map of the Collection's Point location - will be sent.

After filling out the information, click Add to include the Visitor.

If there is a chance that a duplicate visit is being created, the user will be warned that there is a visit matching the booking that is being created.

Use the icons to edit (2) or remove (3) a person from the Visit, and Register (4) to finish.

The Discard (5) button can be used at any stage to clear all data on the page.

A confirmation popup will appear - Tick the boxes if you want Cc Host(s), Host and Visitor (when included) to receive a confirmation email/sms about the registration.  

Click Yes to confirm or No to cancel.

The Person Detail portlet can be used to define the notification preferences for the person. This will unselect the checkbox by default for when a visit is registered. The contact details for the person to receive the notifications can also be set in the Host Detail portlet.

Your new visit it is now presented under the Upcoming visits section.

It is possible to configure the system to load information from the previous visit, such as: 'Picture', 'First Name', 'Last Name' and 'Email Address'.
